If you look into the subject line and you’re thinking… What is Edgar talking about this time? Please stick around; it’s free and contains excellent insights. Today I will be talking about DNS management and changes, that can make or break your email deliverability and security but, above all, impact your business in the short and long run.

However,… before we dig deep into the weeds, let me THANK YOU all! I received terrific feedback about my “Security” newsletter and some great questions. Now let’s go back to Domain Health and DNS Management; Every domain has a DNS area; DNS stands for ‘Domain Name System’; imagine it like the ‘brain’ for your domain. It has the answers you need and can answer inquiries from different providers, so nothing gets lost.

For example, the way your email is handled, if someone sends you an email, the sender provider will inquire about your ‘DNS’ and ask:

“Hi, where should I drop this critical message from Edgar.” 

Your DNS will look into the ‘MX Record’/‘Mail Exchanger’ and redirect to this IP. This also applies to CNAME, A Records, or how people find your webpage.

So we have determined your DNS also contains crucial information. However, another fact is that your DNS contains information that allows your email to be authenticated, preventing it from landing in spam or spoofed. 

However it is vital to create specific entries/records on your DNS and maintain those records up to date.

I often see companies moving from on-premise/legacy systems to cloud solutions such as Google Workspace, Office 365, ZoHo, etc. Changing from one cloud provider to another. And now that your email system is handled by a different provider, we tend to forget small details such as creating or updating an SPF, DKIM, or DMARC record. Or not adding all the systems and third-party applications that send emails on your behalf, and like that, a good email, a sale opportunity is not delivered, and that marketing email landed in spam.

So use public-facing tools to run some simple queries against your DNS. Double-check, triple-check every couple of months, and stay on top of your DNS game.
